Section 5: Duties of the First Vice President: The First Vice President will assist the President in all functions, will perform the duties of the President if requested and/or will preside over any meetings the President is unable to attend. The Vice Presidents responsibilities will include arranging programs and social gatherings for the General Membership and for the procurement of the General Membership Meeting Facilities.
Section 6: Duties of the Second Vice President: The Second Vice President will be responsible for all fund raisers including but not limited to: give-aways, chuck-a-pucks, button/photo sales, and auctions. The Second Vice President shall preside over any meetings the President or First Vice President is unable to attend.
Section 7: Duties of the Recording Secretary: The Recording secretary will attend all meetings and keep all minutes of these meetings. The Secretary is responsible for maintaining files of all minutes and other records of the Booster Club with the exceptions of band statements and check registers. The Recording Secretary will preside over meetings which the President, First Vice President, Second Vice President and Treasurer are unable to attend.
Section 8: Duties of the Corresponding Secretary: The Corresponding Secretary will be responsible for all correspondence of the Booster Club as directed by the President. Responsibilities will include but are not limited to notices of meetings, greeting cards, club news letter, and assisting the Treasurer in the collection of Membership Dues. He/She will be responsible for maintaining an up to date membership roster and all membership applications.
Section 9: Duties of the Treasurer: The Treasurer will keep an accurate and detailed account of all financial transactions for the Booster Club. All cash monies shall be receipted at the time they are received. All funds received by the Treasurer must be deposited within 5 business days from the receipt. The Treasurer will sign checks for the Booster Club and the Presidents, First Vice Presidents, or Second Vice Presidents co-signature is required on all checks over $250.00. All reports should be categorized and itemized when presented to the Membership at the monthly meetings. All Club Party Funds should be made as a separate deposit. Anyone wishing re-imbursement must present the purchase receipt to the Treasurer before a check can be cut.
Section 10: Duties of the Sergeant-at-Arms: The Sergeant-at-Arms will be responsible for checking members’ identification upon entering all meetings and functions of the Booster Club, maintaining attendance sheets for Officers, members, and visitors, and issuing visitor name tags when needed. The Sergeant-at-Arms shall preside over meetings in the absence of all other officers.
Section 11: Election of Officers: The election of officers will be at the regularly scheduled business meeting held in March. Officers will be elected by a majority vote of qualified members present at the March meeting. When more than two (2) candidates are seeking an office and a majority of votes is not achieved by a single candidate, a run-off election between the two (2) candidates with the most votes will be held at that same meeting. The new officers will take office on June 1st of that same year following the completion of the annual audit. Officers will be elected from a slate of nominees presented by the Nomination Committee and from nominations from the floor at the March meeting. Persons nominating candidates from the floor at the meeting will be required to give an oral presentation as to why the person nominated should be considered for the position. No seconding of the nomination is necessary for the nomination to be considered. When more than one candidate is nominated for a position, voting shall be by written secret ballot. Ballots will be turned over to a three (3) person panel appointed by the President, or the presiding officer of the election, for tabulation. Results will be announced before the meeting is adjourned. In the event no person is elected for a position at the annual March Meeting, the election for any open position will be held at the next regularly scheduled General Membership Meeting. This procedure will continue until a person has been elected for all open positions. Beginning the 2010 election for the 2010-2011 season the offices for the President, Second Vice President, Treasurer and Recording Secretary shall be elected to a two (2) season term. In the March 2011 election for the 2011-2012 season the offices of First Vice President, Corresponding Secretary, and Sergeant of Arms will be elected to a two (2) year term.
Section 12: Terms of Office: The incumbent of any office can only hold their current offices for 2 consecutive terms, and then the incumbent must take a year off or run for a different office.
Section 13: Qualifications of Elected Officers: Any active adult member of the Booster Club who has been in the Booster Club for at least one year is eligible for nomination for office.
